Rental Agreement for Ski Chalet Accommodation at Big White with Rentchalets

Deposits: When booking 30 days or more from the set arrival date, Rentchalets requires a booking deposit of 25% of the total rental cost. If booking within 30 days of the arrival date, full payment is due immediately. The booking deposit is due immediately if paying by credit card or must be in our mailbox within 10 days if paying by certified cheque or money order. This booking deposit is applied to rental cost. Full payment is due 30 days prior to arrival.

Age Limit: Rentchalets caters to family and mature adult ski groups, average age of group must be over 25 years of age or older.

Damage/Security Deposit: To insure against damages to lodgings, a damage deposit of $500.00 for each unit is taken as a pre-authorization at time of check-in. This deposit is applied to any additional charges such as damage done to the property, lost keys and extra cleaning charges. The charge for lost keys is $75.00 per set and the entire amount is forwarded to the owners so they may re-key their unit to ensure that their property is safe and secure. Rentchalets inspects all accommodations before and after a guest's stay for damage, lost items, and cleanliness. Please note that guests are fully and legally responsible for any charges over and above damage/security deposit collected and the guest authorizes Rentchalets to put any additional charges onto their credit card. If a damage deposit is paid for in cash, a cheque will be put in the mail within 7 days after day of departure. If a credit card is used, the amount held on the card will be released with in 10 days after departure. No refund is required as this is an authorization only.

Full Payment: Full payment must be RECEIVED at least 30 days PRIOR to check-in and be made in addition to the payment of the booking deposit.

Cancellation: A grace period of 48 hours is given from the time of booking for any changes to the reservation or for cancellation. If the booking is cancelled or changed after 48 hours, the booking deposit will be non-refundable. If notice of cancellation is received LESS THAN 30 days prior to arrival then the full amount of the rental cost will be kept unless a replacement booking is made. If a full replacement booking is made, then all monies except the initial booking deposit will be refunded. Reservations made within 30 days of arrival: Full payment is due immediately and guests have 24 hours to make any changes or cancel.

Guests' Responsibilities: Guests will take care and respect the lodging they have rented from Rentchalets. Guests will keep ski equipment in the designated storage areas and not wear outdoor footwear inside. Guests agree to report IMMEDIATELY to Rentchalets office any damage found or caused. Rentchalets caters to family and mature adult ski groups. Should guests' behavior (including excessive noise resulting in a complaint- quiet time is after 11pm) necessitate eviction, all pre-paid rent monies, deposits, and purchases shall be considered earned and therefore be retained by Rentchalets.

Guests are required to complete the cleaning requirements that are posted in each accommodation. The cleaning requirements include washing and putting away all dishes, leaving the lodging organized and tidy, and leaving all garbage inside the front entrance or garage for collection. Arrangements for mid-stay garbage removal can be made with Rentchalets office at a $10.00 charge. Once guests check out, Rentchalets' cleaning staff will clean the kitchen, bathrooms, floors and do laundry. Please remember that the damage deposit can be applied to the cost of additional cleaning which may be required.

NOTE: Maid service can be booked with Rentchalets. This service must be pre-arranged and pre-paid 48 hours in advance.

Please be sure to have snow tires or chains on your vehicle. It takes time to plow all the roads and driveways on heavy snowfall days. Having proper tires helps prevent getting stuck. Rentchalets is not responsible for any icy roads or driveways.

Furnishings, Equipment, etc. All homes are privately owned. We cannot make any changes to what the owner has provided. All kitchens are equipped formal cooking needs. If any equipment or appliances are inoperative, please report to the Rentchalets office and we will have repairs made as quickly as possible. Rate adjustments are not made for failure of any appliances, equipment or common features such as an elevator or common hot tub.

Check-In Time: Units are ready for check-in at 4pm. Early check-ins or luggage storage may be pre-arranged with Rentchalets and is subject to availability. On extremely busy days, housekeeping may still be finishing up in the chalet at 4pm.

Checkout Time: Units must be vacated by 10:00 am sharp! Late check-outs may be pre-arranged with Rentchalets upon availability. This must be prearranged the day before departure during office hours. Unscheduled late checkouts are billed at $50.00 per hour as cleaning staff are standing by.
